1.  Meeting was called to order:  members in attendance were Sherrill Blodget, Jeff Buettner, Jeff Rehbach, Aimee Bushey, Susan Cherry, Dan Graves

2.  Minutes were approved

3.  Discussion of October Open House:

  • Where?  Let’s try for Randolph again since the infrastructure is already in place
  • When?:  Try for a later August date?  Discussion led to tabling this decision until a future meeting
  • Who?:  Possible regional- open it to ME, MA, NH?
  • Format:  Discussed pros and cons of 1 headliner vs. 2 vs. utilizing our own talent- possibly Susan and her research;  Reading sessions- should we do more and should they be back to back so everyone can go to all the sessions?; discussion of an open sing for all the musicians present; host a discussion of [ideas] (that possibly tie into the “theme” of the conference);  what should the time-frame be – should we open by 9 and stay until 4:3o?  Some other thoughts:  warm-up share, something to highlight the church’s pipe organ, possible student involvement, Choral Sing-In (more discussion later)

  • Several names were given and discussion around protocol for giving memberships

6.  Leadership Meeting Report (Jeff B): Jeff shared minutes from the leadership meeting- basically stating that there was a LOT of discussion about email……but several good conversations came from this event- centering around rural outreach and possible New England collaborations.

7.  Madrigal Festival 2011: Aimee reported that Sherrill will be the conductor; we are in the process of getting music out and that things are underway for this year’s festival (Friday, Dec. 9 at 7:30- No. Ave. Alliance Church, Burlington)

8.  Children’s Choir:
Susan reported that she has secured this year’s conductor (Michael SanFillipo of the Newark Boys Chorus School) and also put out an ad on ChoralNet for a conductor and received 28 highly qualified replies and resumes!  She has conductors lined up for the next several years!!!!
There was discussion about the logistics of hosting the festival at Middlebury that will be worked out between Susan and Jeff B & Jeff R and other appropriate campus staff.  An accompanist is needed

9.  Music in Worship:  Sherrill reported that Lori says she’s working on it!

10.  Essence of Joy:  Tony Leach’s choir from Penn State will be in the area in February- hoping to do some workshops and performance with local high schools……should it be an ACDA sponsored event?  Yes…..

11.  February Conference:

  • Sherrill is looking into 2 bus companies and will go with less expensive- how many people will be using this?

I. President-elect Jeff Buettner called the meeting to order at 5:50 pm. He reported he had talked with president Sherrill Blodget (home with her new-born) just before the meeting. Jeff R offered to take minutes.

II. Board members who were present re-introduced themselves to one another.

III. Approval of previous minutes – postponed until next meeting.

IV. October open house

  • We agreed to hold the open house, despite challenges of travel across the state from tropical storm Irene.
  • We agreed to keep the date set for Oct. 1, since that is the date our guest speakers are available.
  • We agreed to move the location from Randolph to Burlington, because access to Randolph is limited.

§  Nat will check for availability at St. Michael’s College, Burlington College

§  Jeff B has a query into Elly Long Center

§  Aimee could check on S. Burlington H.S.

§  Since Frank cannot stay the whole day, Burlington H.S. is not an option

  • Sherrill and Jeff R will arrange for refunds from the Randolph locations (Chandler Center for the Arts and Bethany UCC have agreed to refund our rental fees)
  • Publicizing the change:

§  We agreed not to re-send postcards (since it would be a ca. $400 cost)

§  Sherrill: send e-mail to VT ACDA listserv announcing the change.

§  Sherrill and Kristin: contact VMEA president Patrick Roberts to request that notification of change of location e-mailed to VMEA members.

§  Jeff R: contact statewide church associations to see if they can send out an e-mail about the change, since postcards went to ca. 400 congregations across the state. Also, send to any non-ACDA people who have email addresses on our large organization address list.

  • October 1 details

§  Honorarium for Robert De Cormier and Gwyneth Walker – they have been contacted and agreed to amount plus travel plus lunch.

§  Robert De Cormier & Gwyneth Walker sessions

Facilitators: Nathaniel Lew (De Cormier session) and Dawn Willis (Walker session).

Note to facilitators:  please try to get Dan music in advance

Timing: each session will be 70 minutes
(modify afternoon schedule so Gwyneth session ends at 2:55, then a 15 minute break)

§  Lunch:

w  if at St. Mike’s, Nat will see if we can get meal tickets to eat on campus

w  if elsewhere, Aimee Bushey may be able to recommend a deli for takeouts (JB follow-up)
and people could fill out order forms upon arrival during morning registration

§  Coffee/donuts:

w Jeff R will coordinate: order and bring donuts/bagels from Middlebury Bagel Bakery, and see if Middlebury-based Vermont Coffee Co. will donate coffee, cups, etc.

§  Registration/Fees:

w We agreed to set a single fee of $25 (i.e., no difference between advance registration and on-site registration) and keep lunch rate at $10.

w In the past, it was noted that facilitators and accompanists did not pay registration fee.

w Registrars: Frank, Dawn, Kristin

§  Handouts:

w Consensus to keep handouts to a minimum – no program or bios (bios can be read, print a poster with the days events to display at registration)

w We should have a survey (see below)

w We should distribute copies of ACDA score library to increase awareness of this resource.
Frank offered to prepare this.

w ACDA materials (Choral Journal, whatever else national may have) Dawn offered to contact the national office to request materials both for Oct. 1 and our table at VMEA.

§  Schedule/sessions:

w Welcome/group sing: Nat suggested we use a piece by Robert De Cormier (and perhaps distribute copies from the ACDA choral library if we own it) (Note: music in our library comes from the madrigal festival and children’s festival)

w Reading sessions: We hope our new location will still accommodate three sessions.
Take time to have participants introduce themselves to one another.
Keep it simple – likely won’t do handouts with selections listed; hand out each piece then collect, as hand out next piece so we keep track of all copies of the music.
If not enough music suggested in advance, facilitator should have music available

  • Survey. We agreed to have a short evaluation / survey (could also send this out online afterwards). Four suggested questions (Jeff B, Jeff R offered to work on refining this, and board input welcome!)
    A. How did you hear about today’s event?

    B. What was most valuable to you today?
    C. For ACDA members: how does Vermont ACDA support you?
    D. For everyone: How could Vermont ACDA support you in your music-making and work?

V. VMEA, Oct. 10 (Sheraton Burlington, apparently to be held even with impact of tropical storm Irene)

  • Dawn, Jeff R, Jeff B offered to staff the ACDA table
  • Jeff R / Jeff B can bring laptop(s) to show DVDs
    – still need to track down Vermont madrigal festival DVD to show
  • Flyer: Frank reported it is finished and being printed, and will be in everyone’s folder
  • Membership applications, library lists: Frank will prepare these to have at table

VI. New business

  • Free memberships: Frank will send suggestions to Sherrill..
    – if still unused memberships at Oct. 1, could do a drawing at the open house to give them out!
  • Bios for new board members – all received except for Aimee
  • Meeting schedule. For those at this meeting, Tuesdays are best:
    October 18 in Castleton (Sherrill to determine time); January 17, location tbd

VII. Madrigal Festival 2011

  • Glory Reinstein and Aimee Bushey are preparing information to send out soon

VIII. Children’s / Middle School Festival

  • Susan Cherry will remain as Children’s Choir R&S chair until a new chair is appointed (Kristin will talk with Melissa Chesnut-Tangerman more). Festival will be May 4-5 in Woodstock.

IX. Music in Worship report

  • Lori is trying to contact Rip Jackson to see about an April 21 festival in Rutland at Grace UCC. If not settled within a month, will not hold this year.

X. Women’s Choirs report

  • Dawn is trying to connect with Becky Graberin in Brattleboro area to see about a ‘north-south’ meeting of choirs at some point this year

XI. Membership report

  • Frank plans to develop a list of current members (and dates membership expires) to post for ready reference on our web site.

XII. College & University report

  • Nat just sent out an email to conductors across the state, requesting dates of choir concerts and vocal performances to compile and post on the web site.
  • We noted that Becky Peterson is no longer leading “Music Makers” at Champlain College.

XIII. Men’s/Boys/Barbershop

  • Dan noted this is an exploration year, with no event planned. He is working through contacts through various barbership organizations to solicit ideas.

XIV. Other

  • Jeff R noted that hospice singing groups will be meeting in Rutland on Oct. 1
  • Frank wondered if we should begin to plan for a bus to take Vermonters to ACDA in Providence in February?  We agreed to discuss later in the fall.
  • Frank will send out travel reimbursement forms for this meeting.

I. The meeting was called to order at 5:43 p.m.

II. President’s Announcements

President Frank Whitcomb reviewed the year’s activities. The Madrigal Festival was quite successful with a couple of new schools joining in. This resulted in a larger choir and additional income.

Tony Leach will be leading a Gospel workshop on Wednesday, May 4 from 4 to 6 p.m. At BFA St. Albans. 16 participants were registered – 14 ACDA members and 2 non members. Mr. Leach would be paid a fee of $250.

Sherrill Blodgett will be the incoming president with Jeff Buettner as the president elect.
Sherrill will need to make several new appointments as there will be several resignations from the board.

There are currently 81 VT ACDA members: 58 active, 8 retired, 11 student, 1 lifetime, 1 industry, 2 institution.

The checking account currently stands at $4701.14; the savings account has $762. There are no outstanding bills, There will be some bills for the Children’s/Middle School Honors festival.

Four scholarship applications were received. Two of these applications were from students whose memberships have lapsed. One of the teachers quickly renewed their membership, the other had not yet responded.

Community Choir Festival: For two straight years there has not been enough interest. Perhaps this type of festival isn’t needed or wanted. There has been a good response to the workshop; perhaps conductor centered activities would be more appealing for community/church choirs.

Perhaps a workshop could be connected to an annual meeting or conference.

III. Children’s/Middle School Honor

Susan Cherry just finished negotiating with the St. Johnsbury town manager to delay some construction that would have shut off water to the school.

Vicki Day designed the poster and program. The school cafeteria would be providing dinner. 54 students had registered for the choir. Admission will be $6,$8 and $20 for a family. A new coordinator will need to be found next year as Susan will not be continuing in this role next year

IV. Fall Conference

Discussion continued around a less formidable approach to providing services to community/church choir directors. One idea would be a less formal day filled with guest speakers, readings, interest sessions. Discussion continued to find an appropriate date in October in central Vermont.

Nat will check into a possible location. Sherrill mentioned that it might be possible to join with New Hampshire and Maine for a larger scale conference.

Nat suggested a direct mail with black and white postcards.

V. Jazz Choir

Megan LaRose feels that this category isn’t viable for Vermont. Discussion continued to include gospel, a capella, and barbershop groups.

VI. College/University Report

Choirs from St. Michael’s, Umass, and Castleton collaborated in a concert at race Church. Proceeds were donated to the Crop Walk.

VII. New Business

October session might include a “Fireside Chat” with a veteran conductor or local composer. Tables could be set up for interest sessions that might include warm-up ideas, games, rehearsal strategies. A reading session could be arranged by members signing up to bring music with them to share.

VIII. Website

Jeff plans to remove the calendar section. It is not being utilized. ACDA Eastern is starting a calendar which could be linked to the VT site. Allyson will need to look into changing the reply option on the list serve. Several people have asked to be removed from the list because of unwanted mail. Jeff will also look into setting up a Facebook page.

IX. Other

Sherrill suggested a few possible dates for a meeting in June. This might be attended by current as well as incoming board members.

I. The meeting was called to order at 5:45 p.m. by President Frank Whitcomb.

II. Minutes from the last meeting were not available for approval. They can be found on the Vermont ACDA website.

III. Frank reported that there is approximately $5200 in the treasury. There will be a financial report at the next meeting.

IV. Glory gave a detailed report about the 2010 Madrigal Festival. It was a successful festival with a large number of students participating. There was some damage to the church’s hymnals so next year all the hymnals and bibles will have to be removed from the sanctuary before the students arrive and they will have to be replaced after the concert. It was decided to begin the joint rehearsal time next year with a report to the students of what occurred in 2010 and a reminder that the students will be held responsible for any damage to the church.

Additional items discussed – Glory asked Amy Bushey to co-chair the event with her next year. Profit from the event was down a bit this year. One of the issues was the unexpectedly high cost of one piece of music – 250 copies of an arrangement of Deck the Halls cost $662. The membership fees of 2 of the directors that participated had not been paid at the time of the festival.

V. Susan Cherry announced that the 2011 Children’s Choir Festival conductor will be Anthony Treck-King. The event will be held at the St. Johnsbury School on May 13 and 14. Blocks of rooms have been reserved at the Comfort Inn. The accompanist’s fee was discussed. Sherrill moved that the fee for the two days be increased to $350. Nat seconded and it passed. Frank mentioned that he would like for all Vermont ACDA posters and programs to have a professional level of quality. Vikki Day was mentioned as the graphic designer many choirs use for posters and programs.

VI. Transition of officers in July. Sherrill will become state President and Frank will assume the position of Treasurer.

VII. The next topic discussed was Nat’s idea to send a survey to church to find out what ACDA could do for church choral directors since this is one area we’d like to see more growth across the state. Out of that discussion came the idea to have a place on the website where all choirs around the state could be listed including school choirs, church choirs and community choirs. Jeff Rehbach will send a brief email to all the choirs that we currently have email addresses for and will request general information about their ensembles.

VIII. Frank announced that Tony Leach will present a workshop on Wednesday, May 4th, from 4:00 – 6:00 pm. at BFA on the day before the All-State Chorus rehearsals begin. Frank put an ad in the VMEA Journal. Glory has the blurb about the workshop and his bio. The group discussed the value of sending information about the workshop to church choral directors (in particular) in Vermont and in upstate New York as well as Plattsburg State Univ.

IX. Adding new material to the website was discussed including repertoire lists and photos from festivals and other concerts. Choral directors are encouraged to let Jeff know about upcoming performances so they can be added to the schedule on the website.

X. Lori discussed ideas for creating an event where church choral directors could get together to share music in worship ideas and repertoire.

XI. The meeting was adjourned at 7:40 p.m.

II         President’s Announcements:

Frank Whitcomb spoke of the need to have a presence in the VMEA journal and he shared recent articles and ads for the Vermont chapter.  Dawn Willis agreed to write an article for the upcoming issue. Regarding the Eastern Conference, a $100 check was sent as our contribution to the “Feast of the East”. Frank noted that passing of Brent Miller and the notice of his memorial service. Board members were encouraged to vote in elections.  Frank will sent a note to Vermont members with a link to the voting website.  Board minutes are now posted on the VT ACDA website.
